Meeting notes into to-do lists
⏱ 25 min6 steps
Everyone leaves a meeting sure someone else is doing the thing. A to-do list sent the same day helps, as long as it says only what was agreed. Claude will turn your notes into a list of who does what by when, taken only from the notes, with anything it isn't sure of set apart for you. Bring notes from one meeting or call. Your first list may come back with more questions than to-dos. Short notes do that, and Step 2 has a fix.
Steps
Get the notes ready, with names taken out
A contractor's notes might come from the Monday site meeting. A store's might be the staff huddle before a sale. An office might use its weekly meeting, and a one-person web designer the notes from a call with a client.
Customer and staff names come out before the notes go into the chat. Use roles instead, like the site lead, the Saturday staff or the customer. If two people share a role, use Staff 1 and Staff 2, and keep a note on paper of who's who.
- Open the Notes app and make a new note calledNotepad, and save the empty page as Notes for Claude.
- Copy your meeting notes into it, or type them in.
- Replace every person's name with their role.
- Delete phone numbers, email addresses, home addresses and account numbers.
That's not what I see
- My notes are handwritten.
- Type them into the note. It takes a few minutes, and you'll catch the lines you can't read while you still remember what they meant.
- The notes cover someone's pay, health or a warning.
- Delete those lines from the note. They stay out of , and you write those to-dos yourself.AI Short for artificial intelligence. Here it means a program like Claude that reads what you write and writes back in plain words. All words
Start a new chat and make the to-do list
This pulls out only the actions the notes state, with the line each one comes from. Anything Claude reads into the notes goes in a NOT SURE list.
AI drafts and sorts; a person approves anything with a price, a date or your name on it. A to-do list has dates on it, and sometimes a customer's job. Claude sorts. You confirm every line.
- Open the or claude.ai and start a new chat.
- Copy the prompt below.
I own a small business, [what you do]. Below are notes from a meeting, with names replaced by roles. Turn them into a to-do list. The rules: list only actions the notes state. Don't add tasks, and don't turn a discussion into a task. For each to-do, give the action, starting with a verb; who does it, only if the notes say, otherwise FILL IN; the date it's due, only if the notes give one, otherwise FILL IN; and the line from the notes it comes from, quoted. Never guess who or when. Anything you think might be a task but the notes don't say plainly goes in a separate list called NOT SURE, with the line it comes from, for me to confirm. Then list any decisions the notes record, each quoted. The notes: [paste your notes]
- Paste it into the chat. Replace the first part in square brackets with what you do, like a building firm, a florist or a travel agency.
- Replace the last part in square brackets with your notes from Step 1.
- Send it.
You should see:
A to-do list with who, when and a quote for each line, FILL IN where the notes don't say, then a NOT SURE list and the decisions.
That's not what I see
- Claude gave a to-do to someone the notes don't name.
- Reply: Only say who does it when the notes say so. Otherwise write FILL IN.
- The NOT SURE list is longer than the to-do list.
- That's normal when notes are short. Go through it in Step 3. Next meeting, say each to-do out loud with a name and a day, and write it down that way.
Check the to-dos and the NOT SURE list
- For each to-do, check the quoted line is in your notes and says what the to-do says.
- For each NOT SURE item, decide: it's a to-do, or cross it out.
- Fill in who does each to-do and when, using your note of who's who if you need it.
That's not what I see
- I can't remember whether something was agreed.
- Ask the person it would belong to, before you put it on the list.
Have Claude make the final list
This prompt puts your decisions into one clean checklist, grouped by who does each item.
- Copy the prompt below.
Here are my decisions on the NOT SURE list, and who does each to-do and when: [your changes]. Give me the final to-do list as a plain checklist, grouped by who does it, each line with the action and the date. Keep FILL IN where I left one. Add nothing else.
- Paste it into the same chat. Replace the part in square brackets with your decisions from Step 3, using roles, not names.
- Send it.
You should see:
A plain checklist grouped by who does each to-do, with a date on each line or FILL IN.
That's not what I see
Nobody has reported a snag on this step yet. Getting stuck is normal. Read the step again one line at a time, and compare your screen with the video.
Send the list yourself
- Copy the checklist into a new email or a group text, or write it on your team's whiteboard.
- Put the names back in place of the roles.
- Check there's no FILL IN left. If there is, fill it in or ask the person.
- Send it the same day as the meeting.
That's not what I see
- Claude offered to send it or add it to a calendar.
- Send it yourself. In this lesson you don't connect Claude to your email, messages or calendar.
Save the prompts for next time
This prompt saves the two prompts with the rules at the top, so the next meeting takes a few minutes.
- Copy the prompt below.
Put the two prompts from this chat on one page I can save, called Meeting notes to to-dos, with blanks in square brackets for what I paste. At the top, write these rules: Names out, roles in, before anything goes in the chat. Pay, health and warnings stay out. Claude lists only what the notes say. Who and when only if the notes say, otherwise FILL IN. Anything Claude reads into the notes goes under NOT SURE for me to confirm. I check the list and send it myself.
- Paste it into the same chat and send it.
- Copy the page into a note or a document called Meeting notes to to-dos.
You should see:
One page with the rules at the top, then the two prompts with blanks in square brackets.
That's not what I see
- The page looks messy when I paste it.
- Ask Claude for it as plain text, with a blank line between sections. Then copy it again.
Your challenge
After your next team meeting or planning call this week, turn the notes into a to-do list within the hour. Fill in every owner and date yourself, send the list, and check at the next meeting which items got done.
